How do I make a deputation to a Committee?

If you would like to make a deputation to a Regional Committee, send a letter to the Regional Clerk ( via mail or Fax) requesting permission to make a deputation and give the following information:

  • your name, address, and a telephone number where you can be reached during normal business hours
  • the name of the Committee you would like to address
  • the date of the Committee meeting (if known)
  • the Agenda Item No. and Title (if known) or the name of the item
  • the name of group or person(s) being represented (if applicable)
  • a brief statement of the issue or purpose of the deputation

The letter should be forwarded to the Regional Clerk at least three days prior to the meeting together with a copy of any material intended for distribution at the meeting. Any requests arriving later than three days before the meeting may be denied, and material brought to the meeting without prior approval will not be distributed. The letter may be faxed to the Clerk's Branch at 905-895-3031, e-mailed to regionalclerk@york.ca, or mailed to York Region Administrative Centre, 17250 Yonge Street, 4th Floor, Newmarket, Ontario, L3Y 6Z1

Alternatively, a Deputation Form will be provided at the Committee meeting and should be completed at that time.

Is there a time limit on the deputation?

Unless otherwise decided by the Committee, a deputation shall be limited to ten minutes (not including questions and answers) and, to avoid repetition, any presentation on behalf of an organization, including any municipality, corporation, or association, or on behalf of any group, shall be made by a single representative.

Can I make a deputation to Council?

Deputants are generally directed to the appropriate Committee, but where the deputant wishes to address Council with respect to a matter which will be before Council or where the Chair, Chief Administrative Officer and/or the Clerk determines that the matter is of such an urgent nature that there is insufficient time to direct the deputant to a Committee, Council may consent to the deputation. Notice in writing should be provided to the Regional Clerk at least 72 hours before the meeting providing an outline of the nature of the deputation.
